1. Purpose
This policy explains UrbanBook's approach to vendor verification, identity checks, business checks, staff checks, listing review, licensing review, and related KYC processes.
Verification helps protect customers, vendors, UrbanBook, payment partners, and the public from fraud, unsafe services, unlawful sales, impersonation, and misleading listings.
2. Who May Be Verified
UrbanBook may verify business owners, directors, authorized managers, individual service providers, staff users, payout recipients, promoters, hosts, property representatives, pharmacy operators, drivers, venue operators, rental providers, and other people linked to a vendor account.
UrbanBook may also verify a business, location, listing, brand, license, bank or mobile money account, tax details, professional qualification, permit, insurance, address, or ownership claim.
3. Information UrbanBook May Request
UrbanBook may request information such as:
- Full name, contact details, and role.
- Government-issued identity information.
- Business registration or trading name evidence.
- Proof of authority to represent the business.
- Licenses, permits, certificates, or professional qualifications.
- Address, premises, property, or location evidence.
- Payout account ownership details.
- Tax or invoice details.
- Photos, documents, or declarations needed for review.
- Additional category-specific information where required.
UrbanBook will request only what it reasonably needs for verification, compliance, safety, or risk review.
4. Accuracy and Updates
Vendors must provide true, current, and complete information. Vendors must update UrbanBook if ownership, management, payout details, licenses, premises, business status, legal status, or operating permissions change.
Submitting false, altered, expired, borrowed, or misleading documents may lead to rejection, suspension, payout hold, removal, or reporting to authorities.
5. Verification Is Not a Guarantee
Verification means UrbanBook has completed certain checks based on available information. It does not guarantee that a vendor will always perform well, that every claim is independently proven forever, or that customers do not need to use judgment.
UrbanBook may recheck vendors or listings at any time.
6. Restricted Categories
Some categories may require stronger checks before listing, selling, payout, or customer access. These may include pharmacy-related services, health and wellness, accommodation, car rental, property, high-risk experiences, events, childcare-related services, professional services, regulated goods, and any category requiring licenses or safety controls.
UrbanBook may refuse or pause restricted category access until the vendor provides satisfactory evidence.
7. Payout Verification
UrbanBook may require verification before releasing vendor payouts. Payout details must belong to the vendor or an authorized recipient. UrbanBook may hold payouts where details are incomplete, disputed, suspicious, mismatched, or legally restricted.
8. Staff Verification
UrbanBook may require certain vendor staff to be invited, approved, or verified before accessing tools, handling customers, scanning tickets, managing orders, entering premises, delivering services, or representing a vendor.
Vendors remain responsible for staff conduct even where UrbanBook performs a platform check.
9. Privacy
Verification information is handled under UrbanBook's Privacy and Data Protection Policy. Private verification documents should not be shared with customers or unauthorized vendor staff.
10. Enforcement
UrbanBook may reject, remove, suspend, restrict, or reclassify a vendor or listing where verification is incomplete, failed, misleading, expired, disputed, or creates legal, safety, payment, or trust concerns.
